IJCNLP–AACL 2025 Registration FAQs
1. Do I need to register if I am a presenter at the main conference or a workshop?
Yes. All presenters (main conference or workshops), whether in-person or virtual, must register. Presenting a paper—regardless of attendance duration—requires a valid registration.
2. Do virtual presenters/attendees also need to register?
Yes, both virtual presenters with accepted papers and virtual attendees must register. Brief attendance (e.g., only for your own talk) does not exempt you from registration.
3. What is the “Registering Paper” category? Does it apply to workshop papers?
The “Registering Paper” means you have an accepted paper either at the main conference, in workshops and demo papers.
- Paper in the main conference: Full-conference Registering Paper category
- Attending the main conference without a paper + Paper in one of the Workshops: Full-conference Registering Paper category
- Paper in the main conference + Paper in one of the Workshops: Full-conference Registering Paper category
- Paper in one of the Workshops + Not attending the main conference: Workshop Registering paper category
4. Do invited speakers, workshop Organizers and tutorial Presenters need to register or pay?
All invited speakers, workshop organizers, and tutorial Presenters must register so that system access, badges, and conference materials can be issued. They do not need to pay registration fees if they do not have an accepted paper in either the main conference or in one of the workshops. For an accepted paper, they must register and pay for the paper as per their category. Registration fees will be waived for all workshop organizers, tutorial presenters, and invited speakers.
5. If workshop organizers have funds for registration waivers to participants/speakers, how should they coordinate this?
Workshop organizers can handle the reimbursement or waiver at their end.
6. Does full conference registration include workshops and tutorials?
Yes. Full Conference registration provides access to all workshops, tutorials, and main conference sessions. No separate workshop or tutorial fees apply once you register for the full conference. If you have a paper, you must choose the registering paper category.
7. Is there a one-day or session-only registration option for the main conference?
No, the conference does not allow one-day or partial registration. Full conference registration provides access to all workshops, tutorials, and main conference sessions.
8. I am participating only in a workshop or a tutorial and not attending the main conference. What should I choose?
You should select the Workshop/Tutorial Only registration according to your category. This allows you to attend only workshops/tutorials and does not include other conference sessions.
9. I need visa documents (Invitation Letter, MEA/MHA approvals). Whom should I contact?
Visa-related documents will be provided upon successful registration.

10. My visa application was rejected due to incomplete/unclear documents. What should I do?
Please contact Aacl-ijnlp25 Visa Team (aacl-ijcnlp25-visateam@googlegroups.com) with your concern. The visa team will assist you.
11. Do accompanying family members need separate registration?
Yes. Anyone who wishes to attend any conference session or enter conference venues must register in the appropriate category. However, 1 or 2 accompanying family members may attend the social dinner with prior permission from the Registration Chairs or Local Organizing Chairs.
12. I need to modify my registration details. How can I do that?
We highly encourage you to fill in your details carefully. However, for any modification (e.g., change in attendance mode, personal details) after your registration, please contact the registration chairs with your request.
13. My visa documents (MEA/MHA political clearance) are delayed. Will I lose the early-bird rate?
No. If your visa case is under process by the Visa Team, your early-bird rate will be honored, even if the deadline passes.
14. Can I switch from in-person to virtual registration if my visa is delayed or rejected?
Yes. You may request a conversion from in-person to virtual in case of visa rejection, delay, or travel constraints.
15. Can I attend the conference without taking an ACL membership?
No. Each conference attendee must be a valid 2025 ACL member.
16. Registration Policy for Shared Task Papers
Do authors of shared task papers need to register for the conference?
Not for publication. Shared task papers will appear in the official conference proceedings even if none of the authors register. However, if the authors want to present the paper (oral or poster), at least one author must register for the conference or the workshops.
Is registration mandatory for presenting a shared task paper?
Yes. To present a shared task paper—whether as an oral presentation or a poster—at least one author must have a valid conference registration (in-person or virtual).
If none of the authors register, will the paper still be included in the proceedings?
Yes. ACL policy allows shared task papers to be included in proceedings without requiring registration.
If one author registers, can a different co-author present the paper?
Yes. As long as at least one author is registered, any co-author with valid registration may deliver the presentation.
Do remote presentations require registration?
Yes. If the workshop allows remote presentations (depending on the event policy), the presenting author must still register.
Are there any exceptions or fee waivers for shared task presenters?
No. If presenters wish to present their shared task work, they must register according to the standard registration categories. Any subsidies (e.g., D&I, student grants) must be applied for separately and subjected to acceptance.
If a team submits multiple shared task papers, how many registrations are needed?
Each paper must be registered by any of the co-authors. However, one registration may cover presentations of multiple shared task papers if the same author is presenting them.
17. I selected the wrong registration category. What should I do?
If you have paid the registration fee:
- Lower to higher category: Pay the balance amount and inform registration chairs. They will update it from the backend (may need to generate multiple invoices).
- Higher to lower category: You can request a refund (refund policy will apply) and re-register again.
If you have not yet paid the registration fee:
Please re-register under the correct one.
18. FAQs Regarding Registration Requirements For Findings Papers
Does my paper appear in the Findings proceedings if no author registers?
Yes. If none of the authors present the paper (neither in person nor online), no registration is required, and the paper will still appear in the Findings proceedings.
If the paper will be presented (online or in person), what registration is required?
At least one author must register under: “Full Conference – Registering Paper (Industry/Non-Academic).” Only one registering-paper registration is required per paper.
Do co-authors who want to attend the conference need to register?
Yes. Co-authors attending the conference in person (but not presenting) should register under: “IP – Full Conference – Industry/Non-Academic.” They do not need to register under the “registering-paper” category.
Is more than one registering-paper registration needed for a single paper?
No. Only one presenting author per paper needs to register under the “Registering Paper” category.
19. FAQs Regarding Non-Archival Workshop Papers
Do authors of non-archival workshop papers need to register?
Yes. The presenting author of the non-archival paper must register for the conference.
Do non-archival papers require a “registering-paper” registration category?
No. Since non-archival papers will not be included in the official proceedings, such papers do not need to be registered in the “registering paper” category.
Under which category should authors of non-archival papers register?
Authors should register under any regular registration category appropriate to their status, such as:
- IP – Full Conference – Academic
- IP – Full Conference – Industry/Non-Academic
- IP – Full Conference – Student
- Workshop-Only Registration (if they plan to attend only the workshop)
If multiple authors of a non-archival paper want to attend, do all of them need to register?
Yes. Each attendee (including all coauthors) must register to attend the conference either virtually or in-person.
If an author is not attending the workshop but another co-author is presenting, does the non-attending author need to register?
No. Only authors who physically or virtually attend/present need to register.
20. Will I receive a digital ID card?
Digital ID cards are only issued to virtual participants. If you are attending the conference in person, you will receive a physical ID card at the venue during on-site registration.
21. Registration Invoice & ACL Membership Invoice
My registration payment included both the conference fee and the ACL membership fee. Why does my invoice show only the conference fee?
ACL policy treats the conference registration fee and the ACL membership fee as two separate transactions, even if they are paid together through the same interface. Therefore, the registration system generates an invoice only for the conference fee.
How do I get the invoice for my ACL membership fee?
The ACL membership invoice/receipt is issued directly by the Association for Computational Linguistics. You can download it from your ACL Member Portal:
- Visit: aclweb.org/portal
- Log in → Go to “Payments/Receipts”
- Download your membership invoice/receipt

Can I receive a single combined invoice for both the conference registration fee and the ACL membership fee?
No. A combined invoice cannot be issued. Conference registration and ACL membership payments are processed through different systems, and ACL policy does not allow merging the two into a single invoice.
The conference system emailed me an invoice. Is that my official conference receipt?
Yes. The invoice you received from the IJCNLP–AACL 2025 registration system is the official conference registration invoice.
I need documents for reimbursement. Can the registration chairs help?
Yes. If you require any additional documentation for reimbursement purposes, the Registration Chairs will assist you. Please contact us.
